Part D outsource during AEP?

Hello - Does anyone use a third-party to help assist with the influx of Part D reviews during the AEP?

In other words, during AEP our small agency is working 20 hour days to try to keep up with Part D reviews. To the extent that we get overburdened and simply cannot handle the amount of requests, does anyone know of a service that I can direct my clients to for Part D reviews that will not also try to poach your Med Supp clients?

What was the name of the one you used? I've recently heard of Ritter's referral program, but I am not aware of any others.
 
Are you reactive with part D meaning you wait until a client calls in? If so I'd suggest becoming proactive by asking clients for an updated drug list. We started doing this about 3 years ago and it allows to data collect starting 9-1 and buy more time. It also helps with the time suck of a client wanting you to review their options right then.

If a client calls asking about part D, Medicare advantage, our default answer is ,"did you send us your med/doctor list". That buys us some time and let's us frame the conversation. It's by no means perfect but has helped with the swell. It's also a great retention and referral tool as clients feel they are being cared for.
 
We begin communications with current clients first of September and have enough research to keep us busy for the first week by October 1. We also let clients know at POS which communications they can expect from us and that if they don't see it they should call us when the start seeing an increase in Medicare commercials. Great referral source.
 
Looking up D&D (doctors and drugs) is the main thing my VA does for me.

I sent her a list of my client's D&D, their zip code, MSP status and a code number. She never sees any information that will identify the client more precisely than their zip code.

She sends me a report of the plans most likely to fit the client. I match the report to the client by the code number.

The new Medicare Plan F****er created some difficulty this past AEP, but it would have been a total nightmare without her help.
 
I am not outsourcing this one.

On Sept 15-all clients get an email with "its that time of year", I need your updated list.

On Oct 1-they get the "please schedule your phone appointment here" with a link to my calendar.

For 2020, I am going to have to shift to emails. There's no way. 82% of my clients are on stupid cheap generics and they are getting an email. The other 18% can have a phone appointment. This year was a massive headache because of Humana going from 24.50 to 52.50, unless you moved to the NEW Humana at 13.30.
