Workflow for new client

Let's pretend that I'm t65 and I engage you to help me. What's everyone's processes look like? Do I call you and hope to get you right away? Call an office with admin who intakes info and sets a meeting with the agent? How/when do you get soa filled out?
Here's where I'm at:

Client typically calls office or email me directly. I forward email to admins or admins take call. They collect all info, med list, doctors, income, etc and send soa (looking for some effiency for this part... It's taking too much time). They try to get the client to sign up for Medicare if obviously appropriate, like on ACA, so that when I met with them client has mbi.
I'm usually around 2 weeks out so then I meet w them and present. They usually buy and if they have mbi great. If they don't (which is becoming increasingly common) then that enrollment goes into a pending file where I'll say I'll send you the enrollment once you get mbi.

Here's the bottlenecks I am wanting a better mouse trap for:

Initial onboarding - anyone have a good process, mbi and l564 uploading, app submission if no mbi a time if enrollment.

Then all the data gets inputted into agency bloc ( most is already there and our connecture software) from intake and admins track submission. We are 6 mo into a transfer to AB so still cleaning up data and hope to have some automation soon for review/ referrals.

I'd love to hear everyone's processes!
 
I'm a one man shop but my prospects are typically all T65's. Usually more than 3 months out with no Medicare ID yet. I run seminars and webinars for people 2-6 months out.
After my event they schedule a one-on-one phone call.
I gather all of their info and enter into my CRM (using rbob right now but how do you like agency bloc?). Rbob has the easiest SOA I've ever seen.

I first get an idea if they preferred the MAPD or med Supp from my webinar/seminar.
I send them a soa, run their meds into Medicare.gov, and see what pops up.
If they are too far out from t65 I put them in my calendar 3 months prior to 65 to call and enroll into Medicare. I tell them to lookout for my call. Everyone gets an email recap of our phone convo, with SOB's of what I recommended.
If they are delaying Medicare I add them to my "delay part b" Mailchimp campaign.
If they are picking up part b from previously delaying it, I email them both forms with instructions on how to complete and who to fax to.

this process doesn't take me much time but I only do 10-20 t65's a month. If you're doubling me, I could see the need to cut down on time.

I just got sunfire/connecture, which I like but it doesn't have all the MAPDs here.

If you click the unlicensed company button on Connecture of plans it lists every single plan in your area. In my area it does . Connecture is adding were you can list the dr's and it will show the approved drs in each plan . There also adding the health assessment for most of the carriers . There will be no reason to use carrier eapps this aep as Connecture so easy .I wish they had a face to face soa to sign on the ipad. Whoever thinks med.gov is more accurate on rx's is wrong . The daily update is downloaded to both at the same time .

I have access to connecture but haven't used it. I just got started on sunfire last week. My FMO told me I could take either one or both. She said sunfire had the Dr. lookup so I went with that one. I'll try out connecture this week.
 
Tested out Connecture and I don't like it. It's the same as the Medicare enrollment center and it's been like that for 5+ years. Looks and functions feel very outdated. Sunfire is better IMO.
If it were better I would change to Agency Bloc for the integration but I'll stick with Radius Bob for now.

When you run the meds on medicare.gov, are you looking at just drug plans or also MAPD?

If that's just for drug plans, how do you check the drugs for MAPD?
Doctors for MAPD?

Sunfire?
Individually for each carrier (would take longer)?

By the time I get to Medicare.gov I know if they're interested in PDP/Supp or MAPD.
Ive always used Medicare.gov but I'll try sunfire this year.
